After-hours lead response: the 9 pm Sunday lead

After-hours lead response is how a business answers web leads that arrive when nobody is at a desk: evenings, weekends and holidays. Done right, the lead gets an instant email that proves someone received the request, then a qualifying call at the first allowed morning minute, before competitors open.

Email is instant at any hour. AI calls run 8 am to 8 pm in the lead's time zone. Texting is coming soon.

Our compliance rules
Overnight

What happens between 9 pm and 8 am

The timeline for a lead that arrives Sunday at 9:02 pm in Denver. The same rules apply in every time zone, using the lead's local time, not yours.

9:02 pm, email

Within seconds: your business name, confirmation that the request arrived, your emergency number if you have one, and a note that the assistant will call in the morning.

9:02 pm, scored

The form is scored right away. If it says "leak" or "no heat" the owner alert fires now, so a human can decide to call back tonight if they want to.

Overnight, held

No call, no text. The lead sits in the queue with its consent record and a scheduled call time of 8:00 am in the lead's time zone. Nothing goes out early.

8:00 am, Lily calls

The queue releases in order of score, so the most urgent lead gets the first call. A-tier leads are booked before most offices open.

How Lily handles it

The 8 am call

Lily opens with the context the lead will have forgotten overnight: what they asked for and when.

Lily: "Good morning Dana, this is Lily, an AI assistant for Smith Roofing. You sent us a request last night about a leak over the garage. This call may be recorded. Do you have a minute?"

Dana: "Yes, it dripped all night."

Lily: "I'm sorry, that's stressful. Is the ceiling inside wet, or is it only showing in the garage?"

Dana: "Just the garage so far."

Lily: "OK. The crew can do an inspection today at 1 pm or tomorrow at 9 am. Which is better?"

Dana: "Today, please."

Lily: "You're set for 1 pm today. Someone from the office will text or email the details. Is there a gate code or a dog we should know about?"

Rules that apply overnight

  • 8 am to 8 pm, lead's time zone. A Florida lead in a Colorado client's queue is called on Florida time.
  • 24-hour freshness. If a lead asked at 9 pm, the morning call is well inside the window. We do not call a lead who asked more than 24 hours ago unless your reactivation rules allow it.
  • Max two call attempts. If 8:00 am goes to voicemail, one more try later in the day, then it goes to your team.
  • Emergency override is yours. Urgent keywords alert a human at night. The AI itself never calls outside the window.

Why email first, then voice

Why we do not rely on texting after hours

Every competitor leads with texting. We are adding it too, once carrier A2P registration clears. But after-hours is where text-only follow-up fails: a text at 9:02 pm is one of a dozen on the lead's screen in the morning, and it cannot ask a question, hear an answer, or book a time. The email is the receipt. The morning call is the conversation. Texting, when live, will be the reminder.

Questions

After-hours response, answered

Does the AI call leads at night?

No. Calls and texts go out only between 8 am and 8 pm in the lead's own time zone, which is stricter than the TCPA's 8 am to 9 pm window. A lead who submits at 9 pm gets an instant email and the first AI call at 8 am the next morning.

Why not just call them right away if they asked?

Because a call at 9:30 pm on Sunday reads as pushy even when it was requested, and some states and the TCPA set calling-hour limits. The email proves you were there in seconds. The 8 am call still beats a competitor whose office opens at 9.

What if my business has evening hours?

Your settings can tighten the window, never loosen it past 8 am to 8 pm local. Many clients run 9 am to 7 pm to match their showroom hours.

What is the difference between this and an answering service?

An answering service takes a message for someone to act on later. This acts on the lead: email in seconds, a qualifying AI call at 8 am, scoring, and a booking if the lead qualifies. For inbound phone calls after hours, see the AI receptionist page.

Do weekend and holiday leads get the same treatment?

Yes. The clock, the email and the quiet-hour rules do not know it is Sunday or Thanksgiving. Only the calendar rules you set (no Sunday appointments, for example) change what gets offered.
