AI inbound answering and consult booking for med spas and clinics

A new-patient call that hits voicemail books somewhere else. AI Speed to Leads has Lily, our AI assistant, answer inbound calls and web inquiries for med spas and elective clinics, explain the services you offer, and book the consult. Booking only, no medical advice, and a plain statement below about PHI and why we offer no BAA today.

Inbound-first for clinics: Lily answers the phone. Outbound calls go only to people who submitted your form with consent. Texting is coming after carrier registration.

The questions Lily asks

Enough to book the consult. Nothing clinical.

Lily's script for clinics is deliberately narrow. She collects what a front desk collects to put a consult on the calendar, and nothing a clinician would ask.

  • Have you been to us before, or is this your first visit? New-patient versus existing-patient path.
  • Which service are you interested in? From your menu, by name. She can describe what a service is at the level of your website.
  • Would you like a consult, or do you already know what you want to book? Consult-first clinics route everything new to a consult.
  • Is there a provider you'd prefer? Books to that provider's calendar if open.
  • Weekday or weekend, morning or afternoon? Then an exact slot.
  • Best mobile number and email for the confirmation? Confirmation sent by email now; texting coming.
  • How did you hear about us? Source attribution for your marketing.

Not asked: medical history, medications, pregnancy, allergies, prior procedures, or anything about a condition. If a caller volunteers it, Lily says the provider will go over that at the consult and does not write it down.

PHI, HIPAA and a BAA, plainly

What is and is not protected health information in a booking call

We would rather say this clearly than hide it in a footnote. Some AI receptionist vendors advertise HIPAA compliance. Here is exactly where we stand today.

What Lily collects

Name, phone, email, the service the caller is interested in, a preferred provider, an appointment time and a marketing source. The same fields an online booking widget collects.

What can become PHI

Once a name is tied to a health service by a covered provider, that record can be PHI. We treat every clinic booking as if it were, which is why Lily asks no health questions and discards anything clinical a caller volunteers.

No BAA today

We do not sign Business Associate Agreements yet. If your compliance officer requires a BAA for a booking vendor, we are not the right fit today, and we will say so on the first call rather than after you sign.

  • Booking-only. No intake forms, no charting, no clinical notes, no access to your EHR or practice management system's patient records.
  • No medical advice. Lily never says whether a treatment is right for someone, what results to expect, or whether something is safe. "Your provider will go over that at the consult."
  • Inbound-first. Lily answers your phone and your web form. Outbound calls go only to people who submitted your form with the consent checkbox. AI receptionist details.
  • Recordings and retention. Every call says it may be recorded. Recordings and summaries stay in your account, and retention is set per client. Compliance page.

This describes how we operate. It is not legal or compliance advice; have your own counsel review your obligations.

Questions from clinics

Straight answers

Is AI Speed to Leads HIPAA compliant?

We do not claim HIPAA compliance and we do not sign a BAA today. Lily is booking-only: she collects contact details, service of interest and an appointment time, asks no health questions, and has no access to patient records. If your compliance program requires a BAA from every vendor that touches a patient name, we are not the right fit yet.

Will Lily answer questions about treatments?

At the level of your website: what a service is, how long an appointment takes, whether a consult is required, and price ranges you choose to publish. Nothing about suitability, results, risks or aftercare. Those go to the provider at the consult.

Can Lily handle existing patients?

She can book follow-ups and reschedules on the calendar. Clinical questions, prescription questions and anything about a current treatment are transferred to your clinical line or taken as a message for the provider.

Does Lily make outbound calls for a clinic?

Only to people who submitted your web form and checked the consent box, within about a minute of the request, 8 am to 8 pm in their time zone. No recall campaigns, no lists, no cold calls.
