ExplainerAI receptionist vs answering service vs speed to lead: which one does a contractor need?
An answering service takes a message. An AI receptionist answers the phone and books. Speed to lead calls the person who just filled out your form. They solve three different problems and get sold as one. Here is how to tell which problem you have.

Key takeaways
- Answering service: humans answer your inbound calls and take messages. Per call or per minute. Does not call leads back or book.
- AI receptionist: software answers inbound calls, answers questions, routes and books. From $29 a month at the low end. Inbound only.
- Speed to lead: outbound. Something calls the person who just submitted your form, within minutes, qualifies and books. Needs consent on the form.
- Most contractors have both problems: missed inbound calls and uncalled web leads. The fix is often one assistant doing both jobs.
- "AI receptionist" gets about 4,400 US searches a month, up 86% in a year. People are searching for the category without knowing which product they need.
Three definitions
Answering service
A staffed call center answers your line when you cannot. The operator follows a script, takes the caller's name, number and reason, and sends you a message by text or email. Some offer appointment scheduling for an extra fee. Pricing is per call or per minute, and it adds up fast in a busy season. What it does not do: call back the homeowner who filled out your website form, qualify anyone, or work your calendar in real time.
AI receptionist
Software that answers inbound calls with a synthesized voice, understands the caller, answers common questions from your knowledge base, routes to the right person, and books appointments into your calendar. It works at 2 am and does not put anyone on hold. Vendors in this category include Smith.ai (AI with optional human backup, from $1.60 per call), Dialzara ($29 to $349 per month by minutes) and Goodcall (from $79 per month by unique callers). Inbound only, unless you buy an outbound add-on. How our AI receptionist works.
Speed to lead
Outbound, triggered by a form. A homeowner submits a quote request; within seconds they get an email and within about a minute they get a call that qualifies the lead and books the appointment. The point is the gap: the Harvard Business Review audit of 2,241 companies found an average response of 42 hours and 23% never responding, while firms that responded within an hour were about 7 times more likely to qualify the lead. Speed to lead exists to close that gap for every lead, including the ones that arrive at 9 pm. What speed to lead means.

The comparison table
| Answering service | AI receptionist | Speed to lead | |
|---|---|---|---|
| Direction | Inbound | Inbound | Outbound, triggered by a form |
| Who talks | Human operator | AI voice | AI voice (or a human setter) |
| Books appointments | Sometimes, extra | Yes | Yes |
| Qualifies the lead | Rarely | Basic | Yes, scored |
| Calls web leads back | No | No (unless an add-on) | Yes, in about a minute |
| Consent needed | No (they called you) | No (they called you) | Yes, on the form, for AI or automated calls |
| Typical public pricing | Per call or per minute; Podium cites a customer who dropped a $2,000/mo service | $29 to $349/mo (Dialzara); from $79/mo (Goodcall); from $1.60/call (Smith.ai) | Structurely $99 to $2,499/mo; Hatch quote-only; AI Speed to Leads quoted |
| After hours | Yes, costs more | Yes | Email instantly; calls inside quiet hours (8 am to 8 pm local for us) |

Which problem do you have?
Pull two numbers from last month.
- Missed inbound calls. Your phone system or call-tracking report shows calls that rang out or hit voicemail. Invoca's analysis of 70 million tracked calls found 44% unanswered across businesses; yours may be better or worse. If this number is high, you have an inbound problem: answering service or AI receptionist.
- Median time from form submission to first outbound call. Compare form timestamps with your call log. If it is measured in hours or days, you have an outbound problem: speed to lead.
Source: Invoca via JustCall, missed call statistics.
Most contractors who run this exercise find both. The phone goes unanswered when the crew is on a roof, and the form leads sit until someone is back at a desk. Podium reports 40% of home-service calls come in after hours, which is when both problems are worst.
Decision table
| If... | Then |
|---|---|
| Your calls go to voicemail and you want a person to take messages, nothing else | Answering service |
| Your calls go to voicemail and you want them answered and booked, 24 hours, without staffing | AI receptionist |
| Your web and platform leads wait hours for a call back | Speed to lead |
| Both of the above, and you want one script, one calendar, one report | An AI assistant that does inbound and outbound (what we run) |
| You are a clinic and your compliance program needs a BAA | A vendor that signs one; we do not today. Our clinic page says so plainly. |
| You buy lists and want them dialed | Not us. AI voice calls need prior express consent. Why. |
Why we built speed to lead first
Eye To Ad Media generates leads for painters and bath dealers. The leads were fine. The follow-up was not, and no answering service fixes a form that nobody calls. So we built Lily, our AI assistant, to email every lead in seconds and call every consenting lead in about a minute, then added inbound answering because the same assistant with the same script could do both. Texting is coming after carrier registration. If your only problem is the phone, an inbound receptionist from any vendor above will serve you. If your problem is the form, start here. After-hours lead response, AI appointment setting.
Receptionist, answering service, speed to lead, briefly
What is the difference between an AI receptionist and an answering service?
An answering service uses human operators to answer your calls and take messages, billed per call or minute. An AI receptionist uses software to answer, respond to questions, route and book appointments around the clock, usually for a flat monthly fee. Neither calls your web leads back; that is speed to lead.
Does an AI receptionist need TCPA consent?
Not for answering inbound calls; the customer called you. Consent rules apply when the AI makes an outbound call or sends a text, which is why speed to lead requires a consent checkbox on the form.
Can one system do all three jobs?
An AI assistant can answer inbound calls and make outbound speed-to-lead calls from the same script and calendar. It cannot be a human answering service, but most contractors who add AI inbound answering stop needing one. We suggest a month of overlap before canceling.
